A little about the role…


 


The Retail Sales Administrator will provide key assistance and support to the Retail Sales Customer Managers and Finance Business Partners across key accounts. The role will ensure key processes, spreadsheets and data is analysed and maintained on a timely basis. The role will ensure accurate customer agreements are created, claims are processed and coordinate new product line and promotion nominations forms accurately and on time. The Customer Account Administrator will also engage with our customers to provide support with ad hoc reports, maintain key trackers and escalate any queries with claims to reach satisfactory conclusion.


 


Your Responsibilities & Accountabilities…


 


Agreements: In partnership with the Customer Managers to take full responsibility for the coordination and management of the internal promotion process from start to end.  Actively pre-empting and executing the PAT creation in plenty of time to achieve full Vistex end-to-end process management to ensure that all Agreements are approved well in advance of going live in the market. This includes ensuring the provision of sufficient supporting documentation and actively tracking approvals through the internal workflow within appropriate timeframes.  Immediate escalation of any issues or delays to the respective Customer Manager to bring the process back on track.


 


Pricing: Prevention of pricing claims through performance of Customer pricing checks as appropriate to ensure alignment between Customer systems, McCain systems and Forecast files at any point in time in accordance with the current approved agreement with the Customer.  Actively work to ensure resolution of pricing claims from agreement with Customer through to logging details of invalid pricing claims onto Customer Systems where necessary in order to achieve timely resolution and cash redemption.  Support the Customer Managers in preparing new standard pricing approval templates for sign-off as required.


 


 


Claims: In partnership with the Commercial Finance Business Partners look at ways of streamlining the end-to-end approval process whilst maintaining appropriate segregation of duties; from logging, matching, validating and approving all customer related invoices and trade spend management.  Immediate escalation of any invalid claims to the appropriate Customer Manager and supporting in ensuring resolution. Cross functional effective communication with internal and external stakeholders to ensure optimal efficiency and clarity. Maintain tracking system to ensure management to strict guidelines and actively prevent any backlog of claims building up by Customer.


 


New Line Forms: In partnership with the Customer Managers ensure timely submission of the relevant documentation and product samples.  This includes building knowledge of Retailer systems and communicating with the relevant Customer Departments.


 


Promotion Nominations: In partnership with the Customer Managers ensure timely submission of the relevant documentation. Working collaboratively with internal and external functions to ensure alignment in terms of dates and planned volumes. This is an area of significant investment and the close management of this is critical to effective management of the P+L.


 


Customer Adhoc Reporting: Responsibility for updating internal trackers as defined by each Customer Manager; such as EPOS trackers and customer promotion plans. This will include building knowledge of Retailer internal systems and understanding how we best use the information available to build our understanding of the customer dynamics.


 


Holidays & Expenses: Responsibility for the tracking and reporting of the Sales team holidays.  Prepare and submit the Business Unit Controllers expenses on a monthly basis to avoid credit card charges.  


 


About You – Qualifications and Requirements:


 


We are looking for and excited and passionate applicant with previous customer service experience and someone who thrives working in a fast paced environment. Ideally, you shall have strong analytical skills, excellent numerical and literacy skills and you are able to communicate with a variety of stakeholders effectively. On top of this we are looking for candidates with the following skills & experience:


 


  • Advanced level of Excel experience (essential)
  • Ability to influence across all levels of the team (essential)
  • Educated to A Level or equivalent (desirable)
  • FMCG experience (desirable)
  • Driving Licence (desirable)
