Under the direct supervision of the Plant Manager this position provides administrative and secretarial support for the Plant Manager, the Production Department, and other departments as required.  In addition to typing, filing, scheduling, performs duties such as record keeping, coordination of meetings and conferences, obtaining supplies, coordinating mailings, and working on special projects.  Also, answers non-routine correspondence and assembles highly confidential and sensitive information.  Deals with a diverse group of important external callers and visitors as well as internal contacts at all levels of the organization.  Independent judgment is required to plan, prioritize, and organize diversified workload, recommends changes in office practices or procedures.


 


ESSENTIAL DUTIES AND RESPONSIBILITIES


 


Administrative/Secretarial:  Provides administrative support to the Plant Manager and the Production Department including high-level secretarial support.


 


  • Schedules and organizes complex activities such as meetings, travel, conferences and department activities.
  • Performs desktop publishing.  Creating and developing visual presentations.
  • Establishes, develops, maintains and updates filing system for the Plant Manager, Production Department, and Human Resources Department.
  • Organizes and prioritizes large volumes of information.
  • Opens mail for the Plant Manager.  Drafts written responses or replies by phone or e-mail when necessary.  Responds for regularly occurring request for information.
  • Answers phone for the Plant Manager.  Takes messages or fields/answers all routine and non-routine questions.  Works in cooperation with other support staff to cover phones.
  • Acts as a liaison with other departments and outside agencies, including high-level staff such as CEO’s and Vice Presidents.  Handles confidential and non-routine information and explains policies when necessary.
  • Works independently and within a team on special nonrecurring and ongoing projects.
  • Types and designs general correspondences, memos, charts, tables, graphs, business plans, etc.  Proofreads copy for spelling, grammar, and layout, making appropriate changes.  Responsible for accuracy and clarity of final copy.
  • Provides company publicity support by creating local company newsletter, taking pictures at company events, and serving as correspondent for McCain publications.
  • Performs other related duties as assigned.
  • Promotes and adheres to company safety work rules and regulations.
  • Communicates any problems or changes in department to supervisor and appropriate personnel.
  • Attends and participates in all annual, departmental, and job specific required training and monthly informational meetings.
  • Understands and adheres to the concepts and techniques of the quality process in order to ensure a quality operation.
  • Keeps area clean and orderly in accordance with Good Manufacturing Practices (GMP’s).
  • Helps to build and promote a strong “Teamwork” environment in each individual work group, the Factory, and the Company.
  • Participates in continuous improvement process.

  •    Responsibility to monitor work areas, watch for suspicious behavior and report any concerns regarding unidentified visitors and/or unauthorized personnel  
  •    Authority to question and take appropriate measures regarding the safety of themselves, other employees, products, and equipment
  •    Responsibility of maintaining a high standard of cleanliness throughout the food processing facility, especially where any raw or finished product is produced.
  •    Authority to report and/or eliminate hazards to the safety of the food that is produced in the facility.

JOB KNOWLEDGE, SKILLS, AND ABILITIES


 


  • Must be proficient in MS Word, Excel, PowerPoint and the INTERNET.
  • Excellent verbal and written communication skills required.
  • A professional appearance and telephone manner is essential.
  • Must have good command of the English language, oral and written.

 


EDUCATION and/or EXPERIENCE


  • High School diploma or GED required.
  • Associate’s Degree from 2-year college or technical school preferred.
  • 3-4 years of increasingly responsible related experience.

 


LANGUAGE SKILLS


 


Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.


 


MATHEMATICAL SKILLS


 


Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.


 


REASONING ABILITY


 


Ability to apply commonsense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
